Project Coordinator

We are looking for an in-office Project Coordinator to join our Richland, Washington office. In addition to supporting Project Managers with administrative and coordination tasks, this role will also be the face of our office—handling front desk reception and basic office administration duties. The ideal candidate is organized, friendly, and thrives in a fast-paced, team-oriented environment.
What You’ll Do
- Assist Project Managers with project-related correspondence, coordination, and administrative tasks.
- Communicate with project teams and clients regarding deliverables, task completion, process changes, and requirements using email, phone, and in-person communication.
- Assist in preparing and tracking client proposals, agreements, submittals, and correspondence (letters, transmittals, meeting minutes).
- Maintain project schedules using Smartsheet or similar software to ensure key milestones are met.
- Coordinate permitting tasks with internal teams, clients, and jurisdictions.
- Build and maintain positive relationships with clients, subconsultants, and vendors.
- Deliver plans and proposals as needed and assist with client communication when Project Managers are unavailable.
- Greet visitors and manage the front desk with a professional and welcoming demeanor.
- Answer incoming phone calls and route them appropriately.
- Handle incoming/outgoing mail and deliveries.
- Maintain office supplies, coordinate with vendors, and support the team with day-to-day office needs.
- Keep common areas tidy and organized to reflect our professional standards.
- Do what needs to be done.
Who You Are
- Experience supporting engineers, architects, surveyors, or contractors preferred.
- Familiarity with the site development or public works process.
- Comfortable juggling multiple tasks, deadlines, and communication streams.
- Proficient in Microsoft Office Suite and familiar with Smartsheet or similar software.
- Friendly, reliable, and collaborative—someone who helps keep both projects and the office running smoothly.
Nice to Have
- Experience with AEC industry-specific financial practices or document control.
